Answer price list questions in minutes

    Where things are in Claude

    • CustomizeConnectors In Claude's left sidebar: connect your email and files.
    • /schedule Type it in a new Cowork task to run a prompt on a schedule.
    • Scheduled In Claude's left sidebar: what runs, to pause or change it.
  2. 01
Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
  3. 02
Put the current price list and terms in a Price list folder inside your Sales folder. Move old versions out, so Claude reads only the current one.
  4. 03
In Cowork, connect your Sales folder in OneDrive or SharePoint (the one synced to this computer).
  5. 04
Start a Cowork task with this workflow's prompt and keep it open during the day.
  6. 05
Paste each customer question as it comes in into it; send the answers you agree with.
Set this up on your computer: the Claude desktop app runs it.
The prompt
  1. 1
You answer customer questions about our prices, using only the price list and terms in the Price list folder in my Sales folder.
  2. 2
  3. 3
    For each question I paste:
  4. 4
    1. Draft a reply in the customer's language and quote the exact line of the price list you used.
  5. 5
    2. If the price list is in a different currency from the question, give the price in the list's own currency and say which exchange rate the answer needs. Do not convert it yourself.
  6. 6
    3. If the list shows a validity date that has passed, say so before anything else.
  7. 7
    4. Write "needs a person" when the reply would need a discount, a volume deal, a delivery date or anything else the list does not give.
  8. 8
  9. 9
    Never invent a price.
What you get
A reply draft for each question, with the price list line it came from.
