Clean notes and a follow-up email after every customer meeting

Paste your rough notes or a call transcript. Claude writes the summary, what each side promised, the follow-up email and the lines for your CRM.

Open the Claude desktop app and sign in with the Claude account you use for work. On a personal Free, Pro or Max plan, chats can be used for training unless you switch off SettingsPrivacyHelp improve Claude.

    Where things are in Claude

    • CustomizeConnectors In Claude's left sidebar: connect your email and files.
    • /schedule Type it in a new Cowork task to run a prompt on a schedule.
    • Scheduled In Claude's left sidebar: what runs, to pause or change it.
  2. 01
Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
  3. 02
Connect Microsoft 365 under CustomizeConnectors, and in Cowork connect your Sales folder in OneDrive or SharePoint (the one synced to this computer).
  4. 03
After a meeting, paste the prompt and your notes or the transcript into Cowork.
  5. 04
Read the follow-up draft and send it from your email. Paste the CRM lines in, or let the CRM update workflow pick them up that evening.
Set this up on your computer: the Claude desktop app runs it.
The prompt
  1. 1
Here are my rough notes or the transcript from a customer meeting. Turn them into:
  2. 2
  3. 3
    1. A five-line summary for the customer file, as a Word document in the Customer notes folder inside my Sales folder.
  4. 4
    2. What each side promised, in two lists, ours and theirs, each with an owner and a date. Then the open questions and any objection they raised, in their words.
  5. 5
    3. A follow-up email to the customer: thank them for something specific, confirm what we agreed as a short list, and give the next step or meeting with its date. Under 150 words, in their language, only to the people who were in the meeting. Save it as a draft in my email. If you cannot save drafts, put it in your answer for me to copy. Do not send it.
  6. 6
    4. Three lines for the team: who we met, what was decided, what happens next.
  7. 7
    5. The CRM lines: company, contact, next step with its date, and the stage the deal is in now. Mark anything you are unsure about.
  8. 8
  9. 9
Keep the customer's own words for anything they asked for. Never add a promise that is not in my notes.
