Turn a customer request into a first-draft proposal
Give Claude the request and your past proposals. It drafts the next one in your structure, with what is not included written down, and tells you separately what worries it about the job.

Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Keep two or three past proposals you were happy with in a Proposals folder inside your Sales folder.
- Connect Google Drive under CustomizeConnectors. Keep this workflow's files in one Drive folder called Sales.
- When a request comes in, open Cowork, paste the prompt and attach the request: the email, the RFQ or your notes from the call.
- Fill the [TO FILL] gaps, read the note, then send the proposal as you always do.
Set this up on your computer: the Claude desktop app runs it.
The prompt
- Write a proposal for the customer request I attached.
- 1. Follow the structure, tone and section order of the proposals in the Proposals folder in my Sales folder. Write the draft as a new Google Doc in the same folder.
- 2. Open with the customer's request in your own words, two or three lines, so they see we understood it. Then: scope, what we deliver, what is not included, the timeline and what its dates rely on, price, payment terms, and how long the offer is valid.
- 3. For the price, start from the past proposal closest to this request and name it. If none is close, write [TO FILL: price] instead of guessing.
- 4. Wherever you need a number, a date or a technical detail that is not in the request, write [TO FILL: what is missing]. Never invent a lead time, a quantity or a tolerance.
- 5. Separately, for me only, list what worries you about this job: anything we assumed that would move the price if it turned out wrong, scope that could grow, dates that depend on someone else, and payment terms weaker than in our past proposals.
If your company keeps prices, technical drawings, and customer personal data out of AISafe version
Names the customer company only: every person's name and contact detail is a [CONTACT] gap, every price a [TO FILL] gap, and drawings are never opened.
What you get
A proposal draft with every missing number marked [TO FILL], and a short note for you only: the assumptions and risks to check before it goes.
