Write the monthly sales report: what you won, what you lost and what closes next

At the start of the month Claude reads last month's orders, the quotes won and lost, and the open pipeline, and writes the report for the owner: the numbers against last month, why deals were lost, and what is likely to close next.

    Where things are in Claude

    • CustomizeConnectors In Claude's left sidebar: connect your email and files.
    • /schedule Type it in a new Cowork task to run a prompt on a schedule.
    • Scheduled In Claude's left sidebar: what runs, to pause or change it.
  2. 01
On the first working day of the month, put last month's sales list from accounting and your list of quotes into a Monthly folder inside your Sales folder.
  3. 02
Connect Google Drive under CustomizeConnectors, and Gmail if you want Claude to read the emails behind lost quotes. Keep this workflow's files in one Drive folder called Sales.
  4. 03
Open Cowork, paste the prompt and name the month. The first time, also put your last report in the Monthly folder, so Claude follows its layout.
  5. 04
Check every number against your ERP before the report goes to anyone. Claude marks what it could not find.
Set this up on your computer: the Claude desktop app runs it.
The prompt
  1. 1
Write the sales report for the month I name, from the files in the Monthly folder in my Sales folder and last month's report in the Monthly folder in my Sales folder.
  2. 2
  3. 3
    1. The numbers: orders won (count and value) against the month before and, where the data has it, the same month last year; quotes sent; and the share of quotes won. Then the ten biggest customers of the month, and any customer whose orders fell by half or more.
  4. 4
    2. Lost quotes: group them by reason (price, lead time, quality or specification, a competitor, no decision, other). For each group give the count, the value and one or two examples. Where no reason was recorded, read our last emails on that quote and say what they suggest, marked as your reading.
  5. 5
    3. Next month: put every open deal or quote due to decide next month into "sure" (the customer confirmed), "likely" or "possible", with its value and the reason for its group. Give a total per group.
  6. 6
    4. The three deals the month depends on most, and what we would need instead if they slipped.
  7. 7
    5. What customers kept saying this month about price, delivery, quality or competitors, in their words, with the customer and the date.
  8. 8
  9. 9
Write it as a Google Doc in the Monthly folder. Use only figures you find; write [TO FILL] where a number is missing, and mark your own reading of emails as such.

Works from the exports only, by customer company. Claude reads no email, so no person's name, contact detail or amount goes into AI, and the customers' own words are left out.
