Keep the CRM up to date from your inbox

At the end of each day Claude reads your customer emails and meeting notes and lists what changed: next steps, dates, stage moves and what you promised. Nothing goes into the CRM until you import it.

    Where things are in Claude

    • CustomizeConnectors In Claude's left sidebar: connect your email and files.
    • /schedule Type it in a new Cowork task to run a prompt on a schedule.
    • Scheduled In Claude's left sidebar: what runs, to pause or change it.
  2. 01
Connect Gmail and Google Drive under CustomizeConnectors. Keep this workflow's files in one Drive folder called Sales.
  3. 02
Type /schedule, paste this workflow's prompt and pick Weekdays at 17:30.
  4. 03
Check the list, then tell Claude to apply it to the pipeline sheet.
  5. 04
It runs while your computer is on and Claude is open. An evening it was off is skipped, not queued.
Set this up on your computer: the Claude desktop app runs it.
The prompt
  1. 1
Every weekday at 17:30, read today's emails with customers and the meeting notes saved in my Sales folder today.
  2. 2
  3. 3
    1. For each customer conversation, add one row to a "Pipeline" sheet in my Sales folder (create it on the first run): company, contact, what was agreed, the next step with a date, and the stage the deal is in now, using the stage names in our pipeline. Only include what changed.
  4. 4
    2. If a company or person looks like one already in the list under a slightly different name, say so instead of adding a second row.
  5. 5
    3. List what I promised a customer today (a sample, a certificate, a revised quote, a call back) with the date I gave.
  6. 6
    4. End with tomorrow's top three: the promises due soonest and the deals closest to a decision.
  7. 7
  8. 8
Change nothing in the CRM itself and send nothing. Mark anything you are unsure about instead of guessing.
If your company keeps prices out of AISafe version
Records what was agreed and the stage, never an amount. Attachments stay closed, and if an email mentions a price, Claude ignores it.

What you get
One list of pipeline changes to approve, the promises you made today, and tomorrow's top three, instead of an hour of copy and paste.
