Chase every post still waiting for client approval

Each weekday morning Claude checks the approval tracker against the client threads, drafts a short reminder for every post still waiting, and puts the posts about to miss their date at the top.

  1. 00

Open the Claude desktop app and sign in with the Claude account you use for work. On a personal Free, Pro or Max plan, chats can be used for training unless you switch off SettingsPrivacyHelp improve Claude.

    Where things are in Claude

    • CustomizeConnectors In Claude's left sidebar: connect your email and files.
    • /schedule Type it in a new Cowork task to run a prompt on a schedule.
    • Scheduled In Claude's left sidebar: what runs, to pause or change it.
  2. 01
Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
  3. 02
Keep one approval sheet called Approvals in your Clients folder with these columns: client, post, sent for approval, publish date, status.
  4. 03
Each time you send a post for approval, add its row to the sheet, about 20 seconds. Claude updates the status from the client threads.
  5. 04
Connect Microsoft 365 under CustomizeConnectors, and in Cowork connect your Clients folder in OneDrive or SharePoint (the one synced to this computer).
  6. 05
Type /schedule, paste this workflow's prompt and pick Weekdays at 9:00.
  7. 06
It runs while your computer is on and Claude is open. A morning it was off is skipped, not queued. Claude only drafts; you send.
Set this up on your computer: the Claude desktop app runs it.
The prompt
  1. 1
Every weekday at 9:00, go through the "Approvals" sheet in my Clients folder and the client email threads since yesterday.
  2. 2
  3. 3
    1. Mark as approved every post a client approved, and list the changes clients asked for, post by post.
  4. 4
    2. For every post still waiting two working days or more, draft a short, friendly reminder to the client contact in the thread, in the thread's language: what is waiting, the publish date, and that we post only once they approve. Save it as a draft. If you cannot save drafts, put them in your answer for me to copy. Do not send anything.
  5. 5
    3. Give me one table by client: post, sent for approval, days waiting, publish date, status. Posts that will miss their publish date this week go at the top.
If your company keeps customer personal data out of AISafe version
Works from the brand and the post's date only, and never reads the client threads. Contact names and addresses stay out: you add the recipient to each draft and mark approvals in the sheet yourself.

What you get
A morning table by client: approved, waiting and since when, reminders drafted for your OK, and the posts at risk this week first.
