Draft the 8D report skeleton from the complaint
Give Claude the customer complaint and what you have done so far. It fills the first disciplines of the 8D from the facts and lays out what the team must find for the rest.

Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
- Keep your 8D template, or the customer's, in a OneDrive folder called Complaints.
- When a complaint comes in, open Cowork, attach it, list the containment you have already started, and paste the prompt.
- Work through D4 to D8 with your team. Claude does not find the root cause; it keeps the report honest about what is known.
Set this up on your computer: the Claude desktop app runs it.
The prompt
- Start an 8D report for the customer complaint I gave you, using the 8D template in my "Complaints" folder. Write it as a new Word document in the Complaints folder.
- D1 Team: write the roles this problem needs, with each name left as [TO FILL].
- D2 Problem: describe it as is and is not: what, where, when, how many, how it was found, the part number and the batch or date code. Use the facts of the complaint only.
- D3 Containment: the actions I listed, plus the checks still missing: stock at our plant, in transit and at the customer.
- D4 to D8: for each, write the questions the team must answer, not answers. For D4, list possible causes to check, both for why it happened and why it was not caught, without choosing one.
- Mark every fact that is not in the complaint or my notes as [TO FILL]. Never invent a root cause, a date or a quantity.
If your company keeps customer personal data and technical drawings out of AISafe version
Works from the defect, the part number, quantities and dates, from a complaint saved without names and drawings. People at the customer are named by role.
What you get
An 8D draft with D1 to D3 filled from the complaint, D4 to D8 laid out as questions, and every gap marked [TO FILL].
