Check every supplier order confirmation against your order
Each weekday morning Claude reads the confirmations suppliers sent, compares them with your open orders line by line, and drafts a reply wherever something does not match.

Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
- Each weekday morning, 2 minutes: export open purchase orders from wherever you track purchase orders into a sheet called Open purchase orders. If your IT team can schedule that export, this step runs itself.
- Connect Microsoft 365 under CustomizeConnectors, for Outlook, OneDrive and SharePoint.
- Type /schedule, paste the prompt below and pick Weekdays at 9:00.
- It runs while your computer is on and Claude is open.
Set this up on your computer: the Claude desktop app runs it.
The prompt
- Every weekday at 9:00, read the order confirmations suppliers emailed me since yesterday, and my "Open purchase orders" sheet.
- 1. Match each confirmation to its order by order number.
- 2. Compare them line by line: part code, quantity, unit price, delivery date and delivery terms.
- 3. For each confirmation that differs, draft a short reply to the supplier, in the language of their email, naming the line and what we ordered. Save it as a draft. Do not send.
- 4. Fill the "Confirmed date" column for the orders that match.
- 5. Give me one table: supplier, order number, matches or not, what differs. Differences that push a delivery past the date we need it go at the top.
What you get
A morning list of confirmations that match, the ones that differ and how, and replies waiting in your drafts.
