Turn an operator's notes into a clear work instruction

Give Claude the steps as your best operator explains them. It writes the work instruction in your format: one action per step, key points and reasons, checks and safety, in plain words.

    Where things are in Claude

    • CustomizeConnectors In Claude's left sidebar: connect your email and files.
    • /schedule Type it in a new Cowork task to run a prompt on a schedule.
    • Scheduled In Claude's left sidebar: what runs, to pause or change it.
  2. 01
Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
  3. 02
Keep your work instruction template and one good example in a OneDrive folder called Work instructions.
  4. 03
Write down or record the operator's steps, then open Cowork, attach them and paste the prompt.
  5. 04
Walk through the draft on the line with the operator before it is released.
Set this up on your computer: the Claude desktop app runs it.
The prompt
  1. 1
Write a work instruction from the operator's notes I gave you, in the template and style of the example in my "Work instructions" folder. Write it as a new Word document in that folder.
  2. 2
  3. 3
    1. One action per numbered step, in short, plain sentences a new operator can follow, in the order the job is done.
  4. 4
    2. For each step, the key point (what makes it right) and the reason (why it matters).
  5. 5
    3. The quality checks: what to check, with which gauge, how often, and what to do with a bad part.
  6. 6
    4. Safety: the protective equipment, and the hazards at each step.
  7. 7
    5. Tools, fixtures and settings, with their numbers or values as the notes give them.
  8. 8
  9. 9
Use only what the notes say. Where a value, a gauge or a reason is missing, write [CHECK: what] instead of guessing.
If your company keeps technical drawings out of AISafe version
Works from the operator's notes only, attached without the drawing. Drawings are named by number, never opened or described, and their dimensions are left for you to add.
