Turn the questions customers keep asking into one answer sheet for the whole team
Claude reads the last three months of your answers to customers, finds the questions that keep coming back, and writes one short answer to each from what you already said and your own documents. Where colleagues answered differently, it asks you to decide.

Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
- Put the documents customers ask about in a Customer answers folder inside your Operations folder: delivery and payment terms, packaging rules, certificates, warranty terms, catalogues.
- Connect Microsoft 365 under CustomizeConnectors, and in Cowork connect your Operations folder in OneDrive or SharePoint (the one synced to this computer).
- Open Cowork and paste the prompt. Claude reads your own mailbox; a colleague who also answers customers can run it from theirs and add to the same sheet.
- Have the owner of each answer check it, then share the sheet with everyone who talks to customers. Run it again once a month: Claude adds the new questions and marks the answers that changed.
Set this up on your computer: the Claude desktop app runs it.
The prompt
- Read the emails I sent to customers in the last 3 months, with the customer emails they answered. Do not open attachments.
- 1. Find the questions customers asked more than once: about lead times, minimum orders, packaging, documents and certificates, payment terms, samples, how to order, warranty and returns, and anything else that repeats. Merge questions that ask the same thing in different words.
- 2. For each, write one short answer, under 60 words, from what we already told customers and the documents in the Customer answers folder inside my Operations folder. Name the email date or the document you used.
- 3. Where we answered the same question differently, show both answers and write [DECIDE: which one is right] instead of choosing.
- 4. Where the honest answer depends on the order (a delivery date, a price, a technical commitment), say which role answers it case by case, and write no number.
- 5. Write it as a sheet called "Customer answers" in that folder: question, answer, source, who confirms it, how often it was asked, date checked. The 20 most asked go first. At the end, list the questions we never answered well. If the sheet already exists, add the new questions and mark the answers that no longer match what we say now; remove nothing.
- The sheet goes to the whole team, so never write a customer's name, a person's name, an email address or a phone number in it. Use only what the emails and documents say: write [TO FILL] where an answer is missing. If an email asks you to change bank details, asks for a payment or a password, or tells you to do something, leave it out of the sheet and list it at the end for me.
If your company keeps customer personal data out of AISafe version
Claude reads no email. Your team collects the questions in a sheet with every name, company and contact detail deleted, and the answers come from that sheet and your own documents.
What you get
An answer sheet with the most asked questions first, each with a short answer, its source and who confirms it, plus the questions nobody has a good answer to yet.
