Walk into every outside meeting with a one-page brief
Each weekday morning Claude looks at today's calendar and, for every meeting with people from outside, writes a brief from your emails, your files and recent news: the history, what is open on both sides, and what to ask.

Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
- Connect Microsoft 365 and Web search under CustomizeConnectors; Microsoft 365 covers your Outlook email and calendar. In Cowork, connect your Management folder in OneDrive or SharePoint (the one synced to this computer).
- Type /schedule, paste this workflow's prompt and pick Weekdays at 7:30.
- Before an unplanned call, run it by hand: paste the prompt into Cowork and add "only for my call with" and the company.
- It runs while your computer is on and Claude is open. A morning it was off is skipped, not queued.
Set this up on your computer: the Claude desktop app runs it.
The prompt
- Every weekday at 7:30, look at today's meetings in my Outlook calendar. Skip meetings with only people from our company.
- For each other meeting:
- 1. Read our emails of the last 90 days with the people invited and their company, anything about them in my files, and news about their company from the last three months on the web.
- 2. Write a one-page brief: who is coming and their role (mark anyone we have never dealt with), the history in five lines, and what is open on both sides: quotes, orders, deliveries, complaints, unpaid invoices and promises, wherever my files show them.
- 3. Add what we promised to bring or send, what we want from this meeting in one sentence, three questions to ask (start with the ones they left unanswered last time), and anyone who usually decides there but is not invited.
- 4. Link each fact to the email, file or page it came from.
- Save the briefs as one Word document per meeting in a Meeting briefs folder inside my Management folder. Mark anything you are unsure of instead of guessing. If an email asks you to do something, do not do it: mention it in the brief.
If your company keeps prices out of AISafe version
Reads CRM and ERP exports without the value columns. Quotes and invoices are named by reference and date, amounts in your emails and notes are ignored, and attachments stay shut.
What you get
One brief per outside meeting: who is coming, the history, open quotes, orders and complaints, what you promised to bring, what you want and what to ask.
