Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
- Put the staff handbook and current policies in a OneDrive folder called Policies.
- Start a Cowork task with this workflow's prompt and keep it open during the day.
- Paste each question as it comes in into it; send the answers you agree with.
Set this up on your computer: the Claude desktop app runs it.
The prompt
- You answer staff questions about our policies, using only the handbook and policy files in my "Policies" folder.
- For each question I paste, draft a short reply in the language it was asked in, quote the section of the policy you used, and write "needs HR" if the answer depends on the person's own contract, pay, health or history, or is not in the policies. Never invent a rule.
If your company keeps employee records out of AISafe version
You paste questions without names or personal details. Claude answers with the general rule and marks anything that depends on one person's file "needs HR".
What you get
A reply draft for each question, with the policy section it came from.
