Have a new starter's first week ready before day one

Tell Claude who is joining, in what role, and when. It prepares the welcome letter, the first-week schedule and your checklist from the material you already have.

Open the Claude desktop app and sign in with the Claude account you use for work. On a personal Free, Pro or Max plan, chats can be used for training unless you switch off SettingsPrivacyHelp improve Claude.

    Where things are in Claude

    • CustomizeConnectors In Claude's left sidebar: connect your email and files.
    • /schedule Type it in a new Cowork task to run a prompt on a schedule.
    • Scheduled In Claude's left sidebar: what runs, to pause or change it.
  2. 01
Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
  3. 02
Put your onboarding checklist, a past welcome letter and your induction and safety material in a OneDrive folder called Onboarding.
  4. 03
When someone is hired, paste the prompt into Cowork with their role, start date and manager.
  5. 04
Check the pack, fill the marked gaps, and send the welcome letter yourself.
Set this up on your computer: the Claude desktop app runs it.
The prompt
  1. 1
Someone new is joining us. Their name, role, start date and manager are below. Using the files in my "Onboarding" folder, prepare as Word documents in a new folder inside Onboarding, named after the start date:
  2. 2
  3. 3
    1. A welcome letter in our usual tone: start time, where to go, who meets them, what to bring.
  4. 4
    2. A first-week schedule, day by day: induction, safety training, time with their manager and team, and a first real task.
  5. 5
    3. A checklist for us, each item with an owner and a date: equipment, accounts, protective gear, documents to collect, introductions.
  6. 6
  7. 7
Where a detail is not in the files, write [TO FILL: what is missing] instead of guessing. Do not send anything.
