Hand the accountant a complete month, with nothing missing
At the start of each month Claude checks last month's folder against your accountant's list: every invoice, statement and receipt there, every bank movement backed by a document. Then it drafts the cover email that goes with the pack.

Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Ask your outside accountant for their monthly list and save it in your Finance folder as "What the accountant needs": every statement, list and document they expect, the date they want it by, and the amount below which a bank movement needs no document, if they have one.
- In the first days of each month, 10 minutes: make a folder for last month inside your Finance folder. Put into it the invoices you sent and received, each bank account's statement for the month, and the receipts and documents you collected.
- Connect Gmail and Google Drive under CustomizeConnectors. Keep this workflow's files in one Drive folder called Finance.
- Open Cowork, paste the prompt and name the month's folder. Run it again after you add what was missing.
- Read the cover email, add what only you know, and send it with the pack yourself. Claude only drafts; you send.
Set this up on your computer: the Claude desktop app runs it.
The prompt
- Prepare last month's pack for our outside accountant, from the month's folder inside my Finance folder that I name below.
- 1. Check the folder against the "What the accountant needs" list in my Finance folder. For each item, write "in the folder" with the file name, or "missing".
- 2. Invoices: compare the invoice lists in the folder (if there are none, list the invoice files by number and date, and check only the numbering) with the invoice files in the folder. List every invoice on a list with no file, every file on no list, and any gap or repeat in our own invoice numbers.
- 3. Bank: check there is a statement for the whole month for each account. List every movement that has no invoice, receipt or note in the folder, with its date, amount and description, leaving out those below the amount the list names.
- 4. For the accountant's attention: receipts with no invoice, cheques and promissory notes received or given, and anything unusual for a month like ours (a large one-off payment, a new supplier, a loan, an asset bought).
- 5. Last month's questions from the accountant, if a "Questions" file is in the folder: which ones the folder now answers, and which are still open.
- 6. Draft a short cover email to our accountant: what is in the pack, what is still to come and when, and our questions. Save it as a draft in my email. If you cannot save drafts, put it in your answer for me to copy. Do not send anything.
- Write the checklist as a sheet in the month's folder. Change no file, and never fill a gap with a guess: write [MISSING].
What you get
A checklist of what is in and what is missing, the bank movements with no document, the points your accountant will ask about, and a cover email in your drafts.
