Keep the CRM up to date from your inbox
At the end of each day Claude reads your customer emails and meeting notes and lists what changed: next steps, dates, stage moves and what you promised. Nothing goes into the CRM until you import it.

Where things are in Claude
- CustomizeConnectors In Claude's left sidebar: connect your email and files.
- /schedule Type it in a new Cowork task to run a prompt on a schedule.
- Scheduled In Claude's left sidebar: what runs, to pause or change it.
- Once for the whole company: your Microsoft admin approves Claude's Microsoft 365 connector and turns on its write tools, so Claude can save drafts and files. If connecting asks for an admin's approval, this is still to do: send them this step.
- Connect Microsoft 365 under CustomizeConnectors, and in Cowork connect your Sales folder in OneDrive or SharePoint (the one synced to this computer).
- Save meeting notes in your Sales folder without amounts. Claude reads your customer emails as they are, so it skips attachments and ignores any price it finds in an email.
- Type /schedule, paste this workflow's prompt and pick Weekdays at 17:30.
- Check the list, then tell Claude to apply it to the pipeline sheet.
- It runs while your computer is on and Claude is open. An evening it was off is skipped, not queued.
Set this up on your computer: the Claude desktop app runs it.

- Taken out by a company rule: 1. For each customer conversation, add one row to a "Pipeline" sheet in my Sales folder (create it on the first run): company, contact, what was agreed, the next step with a date, and the stage the deal is in now, using the stage names in our pipeline. - 2. If a company or person looks like one already in the list under a slightly different name, say so instead of adding a second row.
- 3. List what I promised a customer today (a sample, a certificate, a revised quote, a call back) with the date I gave.
- 4. End with tomorrow's top three: the promises due soonest and the deals closest to a decision.
- Change nothing in the CRM itself and send nothing. Mark anything you are unsure about instead of guessing.
- Company rule: never put prices into this task. If an email or file contains them, skip that part and tell me.company rule
Kept out of AI
- PricesKept out
- Safe version. Records what was agreed and the stage, never an amount. Attachments stay closed, and if an email mentions a price, Claude ignores it.
What you get
One list of pipeline changes to approve, the promises you made today, and tomorrow's top three, instead of an hour of copy and paste.
